WorkflowsWorkflows

4 min read · Updated October 2026

A workflow starts when something happens, like a booking or a signed contract, and then runs its steps: emails, files, tasks, stage moves and waits.

  1. Create a workflow

In Workflows, choose New workflow and pick what starts it.

  2. Add steps

Add steps in the List or Flowchart view. Use waits to space them out and if / else steps for different paths.

  3. Keep Ask me before sending on

Steps that reach a client wait in “Waiting on you” until you read them and choose Send or Skip.

  4. Try it, then turn it on

A test run shows what would happen for one project without sending anything. Then switch the workflow on.

Tip: A workflow can’t be turned on while a step is missing settings. The editor lists exactly what to fill in.
